Content and communications processes
              Education materials, marketing collateral, training guides — you might be surprised at how
              quickly content will become an integral part of your operations. The sooner you develop a
              content creation and maintenance program, the better . Here are some things to consider:

              •   Have you established cost and budget for content?

              •   How will you track costs?

              •   Will you use original material or third-party handouts for client education?

              •   Is your content at an appropriate reading level for your clients?

              •   Will you establish a content review board to check for professionalism and cultural and
                  generational sensitivity and ensure consistent messaging in all material?

              •   How will you organize and store printed material on the vehicle?

              •   Will you print in multiple languages?

              •   Is online content an option? Can you direct readers to your website or social media for
                  information?

              •   Have you considered branded video content for waiting clients?

              •   Will you be collecting data for research, reporting or marketing purposes?

                  •  If so, have you touched base with your parent organization to develop a data collection
                     and reporting policy?
                  •  What data points will you collect?
                  •  Do you need a consent form for clients?
                  •  How much budget do you have allocated to data collection and reporting?

              Billing and payment protocols
              Whether you’re charging a fee for service or billing insurance, you’ll need processes in place
              to account for collection of cash and integration with third parties while you’re on site . Be sure
              you’ve answered the following:

              •   How will you collect and where will you keep cash on the vehicle?

              •   Have you researched and recorded the proper ICD and CPT codes for your services, in-
                  cluding telemedicine?

              •   Can you acquire the appropriate authorizations for clients with appointments ahead of time?

              •   Do staff members have access to billing systems?

              •   Will you schedule client appointments electronically, and if so, how?

              •   Are you credentialed with all third parties you plan to bill?
